I belong to a local organization that elects new officers every year. In order to keep our building and property safe and secure, only the elected officers of the organization are allowed to hold keys to the front door. There are about fifty members total, but by keeping the number of people with keys down to a minimum, we ensure the safety of the building and the reputation of our members.
If anything turns up missing, or if the building appears to have been misused, we know exactly who to turn to for answers. In order for any of the other members to use the building when a regular meeting is not in session, those individuals must clear it with one of the key holders, who then become responsible for the safety and cleanliness of the building. Additionally, a locksmith is called in every few years to re-key the door so that if any keys have been lost or have walked off when an officer finishes his term the added security of the building is provided.
This policy has kept our building safe and secure for over twenty-nine years. Unfortunately, we did have an incident once where some of the things in the building started to disappear. At the same time, we checked the books, and the balances that were in the bank were significantly less than the balances that had been recorded. To solve the mystery of what was going on, we took the list of key holders and compared it to the list of people that had access to the bank account, and were able to narrow it down to two individuals. A couple of the members of our organization were with the local police department, and so we turned the issue over to them. Sure enough, when confronted, the two people confessed to everything. It was determined that those responsible were guilty of misappropriating close to $40,000 of cash and property.
When faced with a lawsuit and potential jail time, they were able to rearrange their own affairs and reimburse the money. They were stripped of their keys and signed a document that included a confession and the promise that they would never participate with us again. Granted, they got off lightly, but we would rather handle things internally, in our own way, than have all of the nastiness and bad publicity that a trial might have caused. The locksmith came in and re-keyed the building, and things have been fine ever since.
