It can be a complete disaster if the paper files get returned to the wrong filing location. When this happens a business could lose a full day or more to the attempt to locate the file.
When the office goes paperless the employee can simply access the file from their work station computer saving all the going to look for and returning of the paper files. With a paperless office it is also possible for more than one employee at a time to access the file and use the information.
If the billing department employee is accessing the file to make out invoices and another employee needs information from the file for customer service related reasons then both employees can be obtaining the information they need to do their jobs at the same time.
With paper files the business would either have to make several copies of files for their different departments to use or one department would have to wait until another department had finished with the file. You can see where paperless files improve customer service.
Of course going paperless also improves the profit margin for the business by reducing labor costs. It creates a less stressful office environment by using document image management because finding information contained in files is quicker and easier to do.
